Winery no-show calculator
A no-show costs more than the tasting fee. The seat sits empty, the host was staffed for it, and the bottles that party would have bought never leave the shelf. Enter your numbers to see what missed reservations cost your tasting room each month and year, and what deposits could recover.

What a no-show really costs
Every reservation that does not show up takes two kinds of revenue with it: the tasting fee for each guest, and the wine they would have bought on the way out. For most tasting rooms the bottle spend is the larger number, which is why a free or low-fee reservation can still be an expensive no-show.
There are quieter costs too: a slot another guest could have booked, staff scheduled for a party that never arrives, and a missed chance to sign a new wine club member. The calculator leaves those out, so its numbers are a floor, not a ceiling.
The formula
Lost per party = party size x (tasting fee + bottle spend per guest)
No-show parties per year = weekly reservations x no-show rate x weeks open
Annual lost revenue = no-show parties per year x lost per party
Monthly lost revenue = annual lost revenue / 12
Recovered with deposits = annual lost revenue x your assumed reduction
Default inputs: 60 reservations a week, 10% no-shows, 2.5 guests per party, $40 tasting fee, $60 bottle spend per guest, 52 weeks. Result: $6,500 a month and $78,000 a year. These are example inputs, not industry averages.

Frequently asked questions
How much does a no-show cost a winery?
Each no-show costs the party size times what one guest would have spent: the tasting fee plus average bottle purchases. With 60 reservations a week, a 10% no-show rate, 2.5 guests per party, a $40 tasting fee, and $60 in bottle spend per guest, that is about $6,500 a month, or $78,000 a year.
How do you calculate the cost of winery no-shows?
Annual lost revenue = weekly reservations x no-show rate x weeks open x average party size x (tasting fee + bottle spend per guest). Divide by 12 for the monthly figure. The calculator on this page does the math for your own numbers.
Do deposits reduce no-shows at wineries?
A deposit gives guests a reason to show up or cancel in time, and it covers part of the loss when they do not. How much no-shows drop varies by winery, so this calculator treats the reduction as your own adjustable assumption (70% by default), not a published statistic.
